How much does an AI receptionist cost? Real prices and how to compare

If you have started looking at AI receptionists for your business, you have seen everything: from 29 euros a month to 200 and up, often with pages that will not tell you what a plan includes until you leave your phone number. This article puts some order into it: real market ranges, what explains the price differences and what to check before you sign.

Entry plans in the Spanish market sit between 29 and 55 euros per month: few included minutes, message-taking and little else. The middle band, 50 to 100 euros, is where the revenue-generating features appear: real appointment booking into a live calendar, reminders and per-call summaries.

Above 150-200 euros you find high-volume or «unlimited calls» plans aimed at busy or multi-location businesses. For context: a full-time human receptionist costs 1,400 to 2,200 euros a month with social contributions, and classic external answering services charge per call answered, which gets expensive with volume and still leaves you without bookings in the calendar.

What actually drives the price (and what is marketing)

The first driver is included conversation minutes: AI voice has a real per-minute cost for the provider, so cheap plans include few minutes or bill every overage. Always ask how many minutes are included and what exactly happens when they run out.

The second is what the AI does with the call. There is a world of difference between «taking a message» and booking a real appointment into a calendar with live availability, team schedules and reminders. A message is still work waiting for you; a confirmed booking is money in the diary. This is the feature that separates a glorified voicemail from an actual receptionist.

The third is the everyday details: WhatsApp confirmations and owner notifications, Google Calendar sync, several languages within the same call, and EU compliance (data hosted in the EU, GDPR, and the mandatory AI disclosure). If the provider does not host data in Europe, that cheap price can get expensive.

The hidden costs to watch for

Before comparing numbers, read the small print. These are the four most common extras in this space:

  • Setup fees: 100-500 euros upfront for configuring something that should configure itself.
  • Lock-in: 6 or 12 month contracts with exit penalties. A good product does not need to tie you down.
  • Automatic overages: plans that silently bill every extra minute; the invoice at month end is a surprise.
  • VAT not included: the «49 €» that is really 59.29 €. Always compare final prices.
